Refund Policy

1. Purpose of This Policy

Exam Preparation Academy (“EPA,” “we,” “us,” or “our”) provides academic and educational support services that may include Academic Research & Scholarly Writing support, Personalized One-on-One Academic Tutoring, SBA support, group tutoring, Professional Development, and Corporate Workforce Education. This Refund Policy explains when fees are refundable, when they are not, how requests are reviewed, and the standards that govern cancellations, rescheduling, partial refunds, credits, and payment disputes.

This policy is intended to protect both EPA and the learner, client, parent, guardian, or corporate customer by setting out clear expectations before any service begins. By booking, purchasing, registering for, or using any EPA service, you acknowledge that you have read and accepted this Refund Policy.

2. General Refund Position

EPA commits time, scheduling capacity, intellectual labor, administrative support, and in many cases advance preparation before a session, project, workshop, or training engagement takes place. For that reason, refunds are not automatic. Refund eligibility depends on the type of service purchased, the stage of work reached, the amount of staff time already committed, whether resources have already been released, and whether the cancellation arose from EPA’s fault, the client’s decision, or circumstances beyond either party’s control.

As a general rule, refundable cases are usually limited to duplicate payments, verified billing errors, cancellations made within the notice period stated in this policy, or situations in which EPA is unable to deliver the agreed service. Once substantial work has begun, a full refund will rarely be appropriate.

3. Services Covered by This Policy

This policy applies to all paid EPA offerings, including but not limited to:

Academic Research & Scholarly Writing support;
Personalized One-on-One Academic Tutoring and SBA support;
Group Academic Tutoring and SBA support;
Professional Development and Workforce Education programs;
Corporate Workforce Education and commissioned training engagements;
consultations, coaching sessions, academic planning sessions, workshops, intensives, and custom educational packages.

If a separate written agreement, proposal, statement of work, invoice term, or corporate contract includes refund language different from this policy, the signed contract or accepted proposal will control to the extent of the inconsistency.

4. Non-Refundable Items

The following are ordinarily non-refundable unless EPA expressly agrees otherwise in writing:

administrative or registration fees;
payment processing fees charged by third-party processors where those fees are not returned to EPA;
fees for completed tutoring sessions, delivered workshops, delivered classes, or completed consultations;
fees for work already performed on a research, writing, editing, review, coaching, or advisory project;
downloadable materials, digital templates, recordings, toolkits, course packs, or learning resources once released or accessed;
reserved rush-service surcharges;
late-stage cancellations that fall outside the notice periods stated in this policy.

5. Academic Research & Scholarly Writing Support Refunds

EPA’s Academic Research & Scholarly Writing services involve staged labor. Work often begins before the client sees a final written output. That work may include topic review, scoping, reading, source gathering, outline development, coaching, drafting support, editing, or revision planning. Since that labor is real and billable even when a project is unfinished, refunds for this category are assessed by project stage.

If a client cancels before EPA has begun any substantive work, the client may receive a refund of amounts paid, less any non-refundable processing fees and any booked consultation fee already used.

If a client cancels after intake, planning, topic review, or early research has begun but before a full draft or substantial written work has been produced, EPA may issue a partial refund or service credit after deducting the value of time already spent, any rush scheduling surcharge, and any materials or resources already prepared.

If a client cancels after EPA has produced a draft, substantial notes, a structured outline, revisions, editing work, or live advisory support tied to the assignment, no refund will ordinarily be issued. At that point, the service has already been materially delivered.

If EPA misses an agreed delivery deadline solely through its own fault, and the missed deadline materially defeats the purpose of the engagement, EPA may choose one of the following remedies: a partial refund, a service credit, a revision extension, or expedited corrective work at no added charge. EPA will decide the remedy reasonably, based on what is fair in the circumstances.

6. One-on-One Tutoring and SBA Support Refunds

Personalized tutoring is scheduled time reserved specifically for one learner. Once a session slot is held, that time is no longer available to another client. For that reason, tutoring refunds are closely tied to notice.

A client who cancels or reschedules at least twenty-four hours before the scheduled session may usually receive either a full session credit or a rescheduled appointment. Refunds in cash are not guaranteed where a credit is a reasonable substitute.

A client who cancels with less than twenty-four hours’ notice may lose the session fee in whole or in part. EPA may, at its discretion, offer a partial credit where the reason is serious and documented.

If a learner fails to attend, arrives so late that meaningful teaching time is lost, refuses to participate, or is unreachable after reasonable contact attempts, the session will generally be treated as delivered and will not be refunded.

If EPA must cancel because of tutor illness, instructor emergency, platform failure attributable to EPA, or another internal issue, the learner will be offered a make-up session, account credit, or refund.

7. Group Tutoring, Classes, Workshops, and SBA Cohorts

Group services depend on enrollment planning, seat allocation, teaching preparation, and often printed or digital materials. A client who withdraws before the published start date may be eligible for a partial refund, less any non-refundable registration fee and any materials already supplied.

Once a group class, SBA cohort, boot camp, revision series, or workshop has started, refunds are usually not available. EPA may, at its discretion, offer a transfer to a later cohort, substitute learning materials, or a prorated credit only where the circumstances justify it.

Missing part of a group program because of the participant’s own schedule conflict, travel, school timetable, exam timetable, or other personal reason does not create an entitlement to a refund.

8. Professional Development and Workforce Education

For individual professional development enrollments, cancellations made at least five business days before the start date may qualify for a refund or credit, less any registration fee and any payment processing charges not recoverable by EPA.

For custom workforce education, commissioned training, or corporate engagements, EPA may block calendar time, reserve facilitators, customize content, prepare slides and handouts, and decline other work in reliance on the booking. Because those projects often begin well before delivery, deposits for custom training may be non-refundable once EPA has started preparation. If the client cancels after preparation has begun, EPA may retain all or part of the deposit and may invoice for work already completed.

If a corporate client reschedules with reasonable notice, EPA may apply monies paid to a new date. If the client reschedules repeatedly or with very short notice, EPA may charge an administrative rescheduling fee.

9. Installment Plans and Deposits

Where EPA permits payment by installment, each installment is due on the agreed date. Failure to complete an installment plan does not cancel amounts already earned by EPA for work already performed, sessions already held, or materials already released.

Deposits are used to secure EPA’s availability and planning commitment. Unless the applicable invoice, proposal, or contract states otherwise, deposits are presumed non-refundable once EPA has commenced preparation or reserved delivery capacity in reliance on the booking.

10. Refunds for Duplicate or Unauthorized Charges

If a client is charged twice in error for the same service, EPA will review the payment record and, if a duplicate charge is confirmed, issue a refund of the duplicate amount.

If a client believes a charge was unauthorized, the client must notify EPA immediately. EPA may request reasonable information to investigate the matter. If EPA concludes that the charge was unauthorized or billed in error, EPA will issue an appropriate refund or correction.

11. Service Quality Concerns

EPA takes service quality seriously. A dissatisfaction claim does not automatically entitle a client to a refund, especially where the service was in fact delivered. However, where a complaint is genuine and substantiated, EPA may choose a remedy that is fair under the circumstances. That remedy may include corrective tutoring, targeted revisions, additional support time, a partial refund, or account credit.

Clients are expected to raise concerns promptly. Complaints submitted weeks after a service has been completed, especially after the client has used the work, may be declined.

12. Circumstances That Do Not Support a Refund

Refunds will generally not be granted because a learner changed their mind after delivery began, failed to follow EPA’s advice, submitted materials late, ignored messages, missed sessions, provided incomplete instructions, rejected academically ethical limits on EPA’s support, or hoped for a guaranteed grade, admission, certification, promotion, or outcome.

EPA also does not issue refunds simply because a school, lecturer, examiner, or employer gave feedback the client did not like, where EPA delivered the agreed support competently and in good faith.

13. Academic Integrity Limitation

EPA reserves the right to deny a refund where a client seeks support for dishonest, deceptive, or prohibited academic conduct, including plagiarism, impersonation, exam cheating, falsification of records, or misrepresentation of authorship. If EPA terminates a service on academic integrity grounds after work has begun, amounts already paid may be forfeited to the extent permitted by law and fairness.

14. How to Request a Refund

Refund requests must be submitted in writing to service@epa.globalhrd.net and should include the client’s full name, invoice number or payment reference, service purchased, date of payment, the reason for the request, and any documents needed to support the claim.

EPA aims to review refund requests within seven to ten business days. If a refund is approved, payment is ordinarily returned through the original payment method unless another lawful method is required. Banking timelines, card network rules, and processor delays may affect when funds appear in the client’s account.

15. Chargebacks and Payment Disputes

Clients agree to contact EPA first to try to resolve any billing issue before starting a chargeback or payment reversal. Initiating a chargeback without first attempting good-faith resolution may lead EPA to suspend ongoing services, refuse future bookings, or provide payment records and communication history to the payment processor in response to the dispute.

16. Force Majeure and Unforeseen Events

EPA will not be unfairly penalized for delays or cancellations caused by events beyond its reasonable control, including power outages, internet failures, severe weather, public emergencies, labor disruptions, government restrictions, or sudden illness. In such cases, EPA may offer rescheduling, credit, or another practical remedy instead of a cash refund.

17. Changes to This Policy

EPA may update this Refund Policy from time to time. The version posted on the website on the date of purchase or booking will generally apply to that transaction unless a later version is required by law or is more favorable to the client.
